Part A – RESPONSIBILITY

 

1. This Privacy Statement (“Policy”) is provided by W.I.L. UAE for Events Managing LLC SoC (“Women In Law,” “we,” “us,” “our,” “community,” or “the Company”).

2. At Women In Law, we are committed to safeguarding the privacy of the personal data that we process over the course of our engagement with community Members. This includes the personal data we receive from you (“you”, “your”, “their”, “they”, “Member(s)”).

3. This Privacy Notice
A.Outlines how and why we collect, process, store and use your personal data; and
B.Informs you of your rights as a Member, in regards to the collection, processing, storage, and use of your personal data under our Company Policy.

4. For the purposes of the applicable data protection law, Women in Law is typically the “data controller” of any personal data you provide to us over the course of your Membership. Should you wish to do so, please contact us directly using the contact details set out in Part K “Contact Details”. Please also note, that where necessary, Women In Law will process data in with another data controller or processor. If you sign up to an event that involves a third party, you will assume that this is taking place and you hereby give us your consent to share your information with such third parties.

5. Please read the Privacy Statement carefully. The following information will outline our views and practices when handling your personal data. Please contact the Head of Women In Law, Laura Raynaud (Esq.LL.M), if you have any queries regarding our approach and practices towards protecting your data that are not already addressed in this Privacy Statement.

Part B – COLLECTION OF PERSONAL INFORMATION

 

6. As a company, we may collect personal data from you over the course of your membership. This can take place when:


A. You contact us
B. You request information from us
C. You register and attend our events or webinars
D. Or as a result of your relationships with any of our personnel, interns, volunteers or Members.

 

7. The personal data that we process includes:


A. Basic details: your name, role/title, employer/s;
B. Your contact details: your email address, physical address, contact numbers, and details of your public social media profiles;
C. Identification information: We may collect identity document data such as your passport details, national identity number, residency status, along with any information publicly available that can verify your identity (such as your avatar image and profile picture);
D. Demographic Information: your gender, date of birth, age, nationality, salutation, title, and language preferences;
E. Information you voluntarily share: This can be any information you share relating to matters you seek advice on or insight on when engaging in the community. For example, lawyer recommendations, prospective jobs, and client cases.

 

Please note:
a. It is your sole responsibility to ensure the information you voluntarily share in the group does not implicate the data protection and privacy policies of the companies you work for and clients you represent. To avoid potential implications, we strongly encourage you to remove any sensitive data from queries you bring to group discussions.
b. While all information shared in the group is to remain confidential (as specified in the Code of Conduct, “the Code”) and any breach of the Code will result in an incident review, Women In Law does not take responsibility and cannot be held liable for the leakage of sensitive information that is voluntarily shared in the group.
c. The sensitivity of information volunteered by members of the group is up to the sole discretion of each individual engaging in the community;
F. Payment & Billing Information: Your bank account and payment card details, as well as other financial information where relevant. This will be used to maintain your automatic roll-over membership subscription;
G. Technical Information: Your location, IP address, browser details, traffic data, and location data. This includes information from your visits to our website such as page interaction information and the length of visits, as well as any technical information regarding marketing emails, and digital communications we send to you;
H. Your Event Attendance, Meeting & Visit Information: Your details from appointments and events you attend, and visits you make (e.g. time, location, participants), CCTV images, and other photographic or video images;
I. Personal Information Provided on Behalf of Members: Any personal information that is provided to us by Members or on their behalf, as well as personal information generated by Women In Law in the process of providing services to our community;
J. Professional and Educational Information: Your former or current employer and job title;
K. Health Information: Your access to healthcare, dietary requirements;
L. Preferences: Your interests that you choose to share with us, and how often you would like to receive our blogs or other communications; and
M. Other Information: This includes any other information, personal or in relation to you, that you choose to provide to us.

 

8. It is for the following reasons that we may collect your personal information:

A. As part of our business development, new business intake and member onboarding or member maintenance activities;
B. When you apply for a role, seek employment or internship or volunteering opportunities with us, or engage with former or current group members;
C. When you attend or visit one of our events;
D. When you provide (or offer to provide) services to us, either yourself or on behalf of your employer;
E. When you interact with our website or WhatsApp community, or use any of our online services;
F. When you interact with us via our marketing or digital communications.

 

9. The methods used to collect your personal data include:
A. Obtaining the data directly from you. This is the way we collect the majority of your personal data;
B. Through your use of our website (see Part D “Cookies” for further details); and,
C. Through third-party sources. This can include but is not limited to our Members, technology platform operators we use (e.g. webinar platforms), government authorities, and publicly available records.

 

10. Protecting your personal data is our priority. The personal data you choose to share with us may be sensitive and confidential. As the data controller we will protect your personal data and maintain its confidentiality in accordance with our professional obligations and the law. Given we may engage with third parties to carry out our business operations, we also have arrangements in place to ensure the confidentiality of your personal data is maintained if processed by third party personnel and service providers.

Part C – PURPOSE

11. Regardless of whether we receive your personal data directly from you or through a third party, we will only use your personal information. By joining Women in Law, you hereby confirm that you have provided your consent to our processing of your data.

12. The purposes for which we process your personal information are as follows:
A. To advertise and offer new events (your name, position, and where appropriate your LinkedIn profile picture);
B. Communicating with you in regard to legal developments, publications, and the promotion of our company and membership platform;
C. Managing our business relationship with you (or your organisation), including processing payments, accounting, auditing, billing and collection, and related support services. This also applies if Women In Law is a current, potential or former employer of yours;
D. Identifying and verifying the identity of our Members to ensure we are in compliance with our risk management and legal obligations;
E. Monitoring our technological operations, as well as managing and securing access to our information technology systems;
F. Processing and responding to Member requests, enquiries, or complaints;
G. Keeping your contact details accurate and current. We will do this by using information you provide to us, or any information we find that is publicly available; and
H. For any other purpose that your information was provided to us. This includes but is not limited to any purpose related to or ancillary to the above (Part C “Purpose”, 12, A-G).

Part D – COOKIES

 

13. To facilitate your use of our website we use cookies. Cookies are small files containing small amounts of data and a unique student identifier which is sent to your computer’s hard drive by a web server. This process takes place when you are viewing a website and enables the website to remember who you are.


14. When you access our website we automatically collect some non-personally identifiable information about you such as your IP address, language preference, and the date and time of your visits.


15. The information collected by cookies is only collected to better understand and enhance your user experience on our website. Information collected by cookies has a variety of uses. Women In Law may, among other uses, use cookies to save your user preferences and settings, check our website analytics, and optimize and personalize your browsing experience.


16. At any time you have the right to turn off cookies on your computer. Please note that should you choose to do so, you may not be able to view all of our website features and content, and you may have a less personalized user experience.

Part E – SHARING YOUR PERSONAL INFORMATION

 

17. The primary purpose of collecting your personal data is to offer new events and to enhance your membership experience. During your time engaging with us as a Member of Women In Law, we may need to share your personal data. Safeguarding and protecting your personal data is our primary concern, and as such, we will only share your personal data where it is relevant. The circumstances under which we may disclose your personal data are set out below.


18. Disclosing Your Personal Data to Recipients: We may disclose you personal data to a recipient in the following circumstances:
A. To outsource one or more of the purposes-related functions described above;
B. To confirm or update information you provide to us;
C. To inform you of events, our services and other important information.
D. For any other purposes disclosed at or before the time of data collection.


19. Transferring Your Personal Data to Third Parties: We may transfer your personal data to third parties, in the event that we re-organise our business.


20. Disclosing Your Personal Information at/for Events: We may disclose your personal data to event delegates. If you inform us that you wish to attend one of our events, your name and organisation may appear on a list that we provide to other delegates at the event. Photography and video is also allowed at our events. This may result in your image being captured and used in the course of reporting on the event, for example, via social media. By becoming a Member, you hereby consent to us using your photography and videos for our legitimate purposes.


21. Third Party Sharing: Any other disclosure of your personal information to third parties will only be undertaken where necessary to provide our services in an effective manner. Under these circumstances, disclosure of your personal data will only be shared where you have given your consent, or where we are required to do so by law, or where we have to do so in order to provide you with access to webinars and events. We do not make personal information commercially available to any third party via sale, rent, distribution, or in any other form.

Part F – CROSS-BORDER TRANSFER OF YOUR INFORMATION

 

22. Women In Law operates in the UAE. But we sometimes organize webinars from companies or individuals outside of the UAE. It is important you are aware that it may at times be necessary for us to engage in cross-border sharing of your personal data with these third parties.

 

Part G – HOW LONG WE KEEP YOUR PERSONAL INFORMATION

 

23. Women In Law, will retain your personal data for the duration of your membership. Upon termination of your membership your data will be deleted.

24. The only circumstance under which your personal data will be stored beyond your membership’s termination date is if we specifically agree to a longer data retention period with you.

Part H – YOUR RIGHTS

 

25. Given the sensitivity of the data that may be shared with Women In Law, it is important you are aware of your rights regarding the sharing and protection of your personal data. Please note, the rights that may be available to you will depend on the circumstances and the applicable law at the time of action. Please find a summary of the key rights likely to be available below:


A. Withdraw consent: When personal data is processed on the basis of consent, you have the right to withdraw your consent at any time. Please be aware the withdrawal of your consent will only apply to data processing that may take place post your withdrawal. All data processed prior to your withdrawal of consent will remain under the protection and processing of Women In Law;
B. Access and rectification: You have the right to request access to, rectification of, and erasure of your personal data. You also have the right to restrict and/or object to the processing of your personal data, and the right to data portability (the right to obtain and reuse your personal data across different services);
C. Objecting and restricting: Where you have legitimate grounds, you may object to the processing of your personal information and request that the processing of your data be restricted; and
D. Complaints: Where you believe your data protection rights may have been breached, you may lodge a complaint with the relevant data protection authority. Should you choose to proceed with a complaint the relevant data protection authority for you to approach is the Head of Women In Law.

Part I – INFORMATION SECURITY

 

27. Reasonable administrative, technical and physical measures have been implemented to protect your personal data against alteration, misuse, and loss.

Part J – CHANGES TO THIS PRIVACY STATEMENT

28. Where deemed necessary, Women In Law may make changes to the Privacy Statement.

29. We will notify you of any material changes in advance. We will communicate to you the date any material changes to the Privacy Statement are to come into effect.

30. Non-material changes to the Privacy Statement are subject to be made without notice. Any non-material changes made to the Privacy Statement will come into effect once the amended Privacy Statement is posted on our website. We ask that you check our website regularly to remain informed of updates and amendments to this Privacy Statement.
